Terms and Conditions
By registering for and attending the HMA Picnic, participants agree to the following terms and conditions:
1. Registration and Attendance
All attendees must purchase tickets through the provided link. Tickets are valid only for the individuals listed at the time of booking and may not be transferred without prior approval from HMA.
2. Payment and Refunds
Tickets are non-refundable unless the event is cancelled by HMA. In the event of cancellation, HMA will communicate refund or credit options to registered participants.
3. Event Changes
HMA reserves the right to make changes to the event schedule, activities, food arrangements, location setup, or other event details as needed due to weather, venue requirements, safety concerns, or other circumstances beyond HMA’s control.
4. Weather and Outdoor Conditions
This is an outdoor event. Attendees are encouraged to dress appropriately for the weather and bring any personal items they may need to cope with summer weather.
5. Food and Allergies
While HMA will make reasonable efforts to provide food options for attendees, we cannot guarantee that food will be free from allergens. Attendees with allergies, dietary restrictions, or specific food needs are responsible for taking appropriate precautions.
Parents and guardians are responsible for monitoring food consumed by their children.
6. Children and Supervision
Children must be supervised by a parent or guardian at all times. HMA volunteers may organize games or activities, but they are not responsible for childcare or individual supervision. Parents and guardians are responsible for the safety, behaviour, and wellbeing of their children throughout the event.
7. Safety and Conduct
All attendees are expected to behave respectfully toward other guests, volunteers, organizers, venue staff, and members of the public. This is an alcohol-free family event. The consumption, possession, or distribution of alcohol is strictly prohibited and is against park rules.
Attendees are expected to respect this requirement and comply with all venue, park, municipal, and event rules. HMA reserves the right to ask any attendee who violates rules to leave the event.
8. Personal Belongings
Attendees are responsible for their own personal belongings. HMA is not responsible for lost, stolen, or damaged items.
9. Photos and Videos
By attending the event, participants acknowledge that photos and videos may be taken for HMA’s promotional, archival, and social media purposes.
Anyone who does not wish to be photographed or recorded should notify the organizers at the event.
10. Liability Waiver
Participation in picnic activities, games, sports, and outdoor activities is voluntary. Attendees understand that outdoor events may involve certain risks, including slips, falls, minor injuries, weather-related discomfort, or other unforeseen incidents.
By attending, participants agree that HMA, its executive committee, volunteers, sponsors, and organizers will not be held liable for any injury, loss, damage, or incident arising from participation in the event, except where required by law.
11. Compliance with Venue Rules
All attendees must follow the rules and regulations of the event venue, park, municipality, and any applicable public health or safety guidelines.
12. Acceptance of Terms
By registering for the HMA Picnic, attendees confirm that they have read, understood, and agreed to these terms and conditions on behalf of themselves and any family members or guests included in their registration.
